Supplier Privacy Policy (from the Aid Organisation using F4ID solutions)

Introduction

The Aid Organisation is the controller of, and is responsible for, your personal data (the Aid Organisation is collectively referred to as "we", "us" or "our" in this privacy notice).

We (the Aid Organisation) provide the Platform and App to you to help verify customers, distribute Aid and automatically receive payment for Aid distributed to verified customers.

How we use your information

All information processed through our registration and onboarding process and through your use of the Platform and App will be used to enable you to access the App to distribute Aid and automatically receive payment for the Aid that you have distributed.   We may also use information relating to your use of the App for us to improve our service to you and other users of the App.

Information that we may collect

As part of registration, we will collect your full name and contact details and documents to verify your identity.  We will also ask you to supply details of your business, including IBAN numbers and/or mobile wallet numbers.

Registration will be subject to identification (ID) checks, sanction vetting and a local supplier assessment by us. As part of the ID and sanction checks, you may be asked to provide personal data including bank statements, mobile wallet statements; national ID cards or driving licences.  Where you are registering as a company, rather than a sole trader, we will also process incorporation documents that may contain the personal data of directors and shareholders.

We collect this information in order to perform our contract with you and to comply with our legal and regulatory obligations.

We will also collect information identifying each device on which you log in to our Platform and App.  We collect this information for our legitimate interests in running our Platform and App securely and in preventing fraud.

Sharing your personal data

We may share your personal data with specific third parties service providers that we use to help us run our business or provide the services or functionalities in the App. This includes our providers of sanctions and identity checking services, and the supplier of the App, Fintech for International Development Limited (F4ID), who act as our data processor. Either we or F4ID may pass your data to the following categories of third party service provider for the purpose of providing the services:

  • App hosting services

  • Software providers

  • IT support providers

  • Platform architecture services

We may also share your personal data with our professional advisers or any regulators or authorities if required to do so by law.

We also collect, use and share aggregated data such as statistical or demographic data for any purpose.

Aggregated data could be derived from your personal data but is not considered personal data in law as this data will not directly or indirectly reveal your identity. For example, we may aggregate your usage data to calculate the volume or type of Aid being provided in a certain location. However, if we combine or connect aggregated data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy policy.

Transfer of personal data

Whenever we transfer your personal data outside of the UK, we will ensure a similar degree of protection is afforded to it, as required under the UK data protection laws by ensuring that appropriate safeguards are put in place.

How long will we keep this information

6 years or as long as you are opted in for our services.  In some circumstances we will anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

Our approach to information security

To protect your information, we have policies and procedures in place to make sure that only authorised personnel can access the information, that information is handled and stored in a secure and sensible manner and all systems that can access the information have the necessary security measures in place. To accomplish this, all our employees, contractors and sub-contractors have roles and responsibilities defined in those policies and procedures.

To make sure all our employees, contractors and sub­contractors understand these responsibilities they are provided the necessary training and resources they need.

In additional to these operational measures we also use a range of technologies and security systems to reinforce the policies.

When contacted with an enquiry, we will hold the entity name and contact details only for the purposes of handling the enquiry.
